We are looking to employ an HR assistant with outstanding administrative and communication skills. An HR assistant is expected to be a conceptual thinker with superb organizational and time management skills. You must be reliable and should accurately follow instructions with the ability to multitask and acclimatize to a fast-paced environment.

About the Job

Sekkei Studio is a digital marketing agency based in Shanghai that was founded in 2008. Most of our clients are world-renowned companies (Ubisoft, Hoover, Jones Lang Lassalle, …) working in a variety of sectors, meaning we get to work on diverse projects.

Our skills go beyond digital marketing. At Sekkei Studio, we’re also experts in branding, brand positioning, design and web development for corporate websites to HTML5 games for WeChat campaigns.

We are looking for an integral and dynamic person who will contribute to efficient day-to-day operations of Sekkei Studio Shanghai office, and support the work of management and other team members. The ideal candidate is fluent in both English and Mandarin, energetic, resourceful and cheerful; perform multiple range of duties and becomes a valuable team member of Sekkei Studio.

    Key Responsibilities


    • Act as office receptionist as first contact from general external parties such as answer phone inquiries and divert to appropriate team members.
    • Assist to book meeting room or any other resources the team might need.
    • Coordinate and communicate with team and management in administrative-related matters.
    • Organize of all office documents in an efficient and neat manner.
    • Petty cash management: Purchase office supplies, and track on office assets and property.
    • Assist in courier posting, delivery and distribution.
    • Assist in organizing team building events such as annual dinner, birthday celebration etc.
    • Assist managers to proceed company regulations: paper work, applications.
    • Collect information and share internal status and external research to management.

    Human Resources

    • On/off boarding – Document and prepare paperwork for new employee and exit employee.
    • Leave applications – Document and track team’s attendance.
    • Track and inform management about labor contracts, visa expiry/renewal.
    • Handle working visa application for foreign employees.
    • Recruitment: Execute job ad posting, assist in booking interview appointments with candidates.
    • Assist in employee’s allowance / expenses reimbursement when required.
    • Liaise and consult with various local authorities regarding employments, labor laws.

    Key Skills and Experience

    • Minimum of 2 years’ experience in office administration functions preferably in SME.
    • Experience working in multi-national, creative / digital industry is a great advantage.
    • Fluent in both spoken and written Mandarin and English.
    • Attention to detail and the ability to effectively multi-task in a deadline-driven atmosphere.
    • Ability to establish priorities and be proactive to initiate solutions for admin management issues.
    • Excellent interpersonal and positive personality with can-do attitude.
    • Excellent team player, responsible, mature, trustworthy, reliable, flexible and polite.
    • Good negotiation skills and able to manage and maintain good relationship with external vendors.
    • Ability to foster healthy relationships with all team members.
    • High-level proficiency in MS Excel, PowerPoint, and Word

    • Salary: Depending on experience
    • Benefits: Chinese holidays + 10 days of vacation for the 1st year, 15 days after the 1st year
